**The role and what we are looking for**
As an information management specialist, the purpose of this role is to maintain and improve current records management processes and assist in the implementation and continuous improvement of a mature information management model across the Capricorn Group. The job holder is expected to be focused on compliance and process improvement to ensure that information management practices are efficient and meet business objectives and legal and regulatory obligations.
**Key Accountabilities**
- Assist the Information Manager in planning and implementation of initiatives supporting corporate information strategies.
- In conjunction with the Information Manager, maintain and update information management tools and procedures to ensure compliance with legal and regulatory obligations and business objectives.
- Facilitate the annual records disposal process for the corporate Electronic Records Management System (OpenText Content Server) and archived physical records.
- In consultation with the Information Manager, lead the maintenance and improvement of data quality and records management processes for the corporate Electronic Records Management System and physical archives holdings.
- Perform regular records management tasks as requested by business stakeholders.
- Act as an advisory to the Business for decisions related to information management and governance.
**Customer Service**
- Ensure a high level of customer service is always adhered to.
- Ensure all communications to the Information Management team are responded to in a timely, friendly and attentive manner.
- Provide information management assistance and advice as requested, in accordance with legislation, policies and procedures, and industry best practice.
**General**
- Adherence to Capricorn's Code of Conduct. The code provides the standards for appropriate ethical and professional behaviour.
- Comply with Capricorn requirements, policies, and procedures at all times, including Work Health & Safety system standards.
- Create and maintain a safe and inclusive work environment for self and others.
- Other duties as reasonably directed within the individual's skills, competence, and ability.
**Capabilities Required**
**Knowledge & Skills**
- Up to date knowledge of best practice standards in records and information management.
- Strong analytical and problem resolution skills.
- Working knowledge of key legislation including the Australian and New Zealand privacy principles.
- Strong written and verbal communication skills.
- Proficient in the Microsoft Office suite of products.
**Experience**
- Minimum 3 years' experience in a similar role.
- Experience in use and maintenance of an Electronic Records Management System (Open Text Content Server desirable).
