**About the Department of Paediatrics, Melbourne Medical School**
The Department of Paediatrics is the flagship representative of the University partnership with the Royal Children’s Hospital, and is co-located on the Melbourne Children’s campus in Flemington Road, Parkville.
The Department of Paediatrics is a large department within the Melbourne Medical School. The Department has responsibility for the Child & Adolescent Health component of the Doctor of Medicine course of the School.
The Department delivers a range of teaching across the clinical, biological and health sciences, and within the MD program and is responsible for the teaching of child and adolescent health, paediatric surgery, and other specialties in relationship to children, adolescents and their families, including mental health.
**About the Role**
The STRONG kids, STRONG future team sits within the Department of Paediatrics at the University of Melbourne. We work in partnership with community on activities focused on research, development, training, and implementation of culturally appropriate development measures for Aboriginal and Torres Strait Islander children.
A key achievement has been the development of the Ages and Stages Questionnaire-Talking about Raising Aboriginal Kids (ASQ-TRAK) - the first culturally adapted developmental screening tool for Aboriginal and Torres Strait Islander children in Australia used to observe and monitor the development of Australian Aboriginal children, as part of routine health checks. The ASQ-Steps for Measuring Aboriginal Child Development (ASQ-STEPS) is the next tool being adapted. This is a culturally appropriate developmental outcome measure that will help generate knowledge to tell us what early childhood programs work for Australian Aboriginal and Torres Strait Islander children
The program is entering an exciting new phase of growth and we are looking for an Administrative Officer who will support this transition through the provision of high-quality administrative contributions related to ASQ-TRAK training, the ASQ-TRAK tool and toy kit distribution operations, and by coordinating and contributing to overarching STRONG kids, STRONG future program and project meetings.
The Administrative Officer will work within a diverse team to manage competing demands with sensitive deadlines by prioritizing tasks effectively, be competent in using knowledge management and work flow systems, and communicate effectively with a wide range of stakeholders and clients. Responsibilities include to:
- Manage all logistics associated with training activities, including:
- scheduling, booking venues, setting up online video-conferencing, arranging travel, supporting registration of participants, ordering catering, and organisation of training materials.
- Contribute to the smooth administration and running of program events such as attendance at conferences, seminars, and information sessions
- Co-ordinate all meetings required for the program, including:
- scheduling, managing hybrid meetings, preparing agendas and taking timely minutes
- Liaise with stakeholders to ensure excellent customer service is provided
- Undertake financial transactions, including ordering items, credit card reconciliations, and submitting invoices for payment
