**The Opportunity**:
Urbis has an exciting opportunity for a Team Administrator to join our Planning team in Sydney

Supporting our high performing Planning team, you will be responsible for managing administrative tasks, project invoicing, coordinating meetings, preparing documents, and ensuring smooth day-to-day operations.

**You will**:

- Act as a staff and client interface (coordinating appointments etc.) for Directors;
- Open and manage project data in our practice management system, BST
- Manage monthly project billing and ad hoc client reporting
- Collaborate with the Directors, Project Managers and Commercial Managers to drive commercial outcomes, monitor commercial performance and keep them informed of any major project variances;
- Coordinate tender responses and document production;
- Create relevant expense reports and entry of disbursements on behalf of Directors including reconciliation and entry of expense items and receipts;
- Organise travel arrangements as needed which may include flight and hotel bookings, car hire arrangements, and other transportation arrangements;
- Manage and monitor diaries, conferences and meeting room bookings, catering and video conference arrangements; and
- Support the coordination of team meetings, marketing activities, events and resources.

**About you**:

- Previous experience in a similar role, supporting a team/multiple people preferred
- Intermediate level of experience using Microsoft products (Outlook, Word, Excel, PowerPoint, Teams and SharePoint)
- Previous experience in working with Project/Business Management Systems, including invoicing preferred
- Strong communication skills
- High attention to detail
- Strong time management and coordination skils
