To partner with our internal and external stakeholders and provide technical and reconciliation skills to ensure timely payments by our customers. The **Collections Officer** will be responsible for a high volume of calls, reconciling accounts and resolving disputes in order to reduce the aged debt on the ledger.
***In this role you will be responsible for**:
- Manage domestic debtor’s ledger for 2000+ accounts, with high volume transactions.
- Follow up on overdue accounts and make meaningful contact via the phone.
- Ensure detailed notes, promises and contact are documented and updated in accordance with the Customer’s segmentation & Winc’s dunning policy.
- Statement reconciliations to assist with Customers’ queries.
- Ensure both internal and external Customer queries are investigated and resolved within a timely manner.
- Escalate and code all Customer disputed invoices into SAP and follow up all disputes within a timely manner.
- Ensure Salesforce cases are investigated and resolved within SLA.
- Attend weekly and monthly debtor meetings with Accounts Receivable Manager and Sales Teams to discuss issues and manage Customer payment performance, discussing team strategy ensuring goals are met.
- Escalate overdue balances to Sales and Accounts Receivable Manager in line with SOP’s.
- Provide copies of invoices and POD’s as required and investigate root cause analysis to reduce future requests.
- Review Credit Hold releases and approval in line with local policy and SLA.
- Review of Customer credit limits on an on-going basis in line with corporate policy methodology.
- Liaise with the Credit Team to monitor Customer risk profile changes.
- Assist with requests for Audit.
- To ensure that the Credit Services inbox requests are actioned within SLA.
- Successful completion and execution of projects as delegated by Management.
- Ad-hoc duties as required.
***Skills & Experience Required**:
- 3+ years in an account receivable collections role
- SAP Experience is preferred
- Intermediate to advanced Excel
- Well-developed analytical and numerical skills; strong attention to detail
- Motivation and drive to achieve results and solve issues
- An ability to give and receive information accurately and in a professional manner
- Effective problem solving and decision making skills
- Accurate reconciliation skills
**Key Performance Indicators**:
Successful completion of the above duties, including:
- Ensuring the budgeted DSO is achieved by adopting the appropriate cash management and credit control procedures in line with Winc policies and SOP’s;
- Maintaining the Accounts Receivable ledger, ensuring monthly cash collection targets are met;
- Ensure disputes are logged in a timely manner;
- Make 10-15 meaningful collection phone calls daily;
- Establishing and maintaining excellent rapport with Customers’ both internally and externally;
- To maintain aged arrears 60+ days to under $2M
- To complete weekly reporting in a timely manner
