Office Administrator

Join our Road Asset Maintenance Contract in Stapylton Qld as a permanent Office Administrator reporting to the Finance Manager.
**About the Role**
This is a busy and diverse role which will require you to be proactive, self-driven and take ownership of your role to support the team with administration and procurement tasks. You will also be required to travel to site depots on occasion. Duties include:
- Register subcontractor personnel for inductions and process related documentation
- Manage vehicle request (fuel cards, eRoad units etc.)
- Oversee onboarding / offboarding requirements (IT equipment and access, phones and sim cards, uniforms and PPE, etc.)
- Maintain stock levels (stationery, PPE, kitchen and cleaning supplies etc.)
- Booking travel (flights, accommodation etc.)
- Coordinate internal events (morning teas / lunches, team building events, mid-year and end of year functions etc.)
- Coordinating, organising and procurement of site depot requirements. This includes
- Stocktake of all consumables (kitchen and cleaning supplies, PPE, store materials such as bollards, emulsions, flagging, fuel, spray paint, etc.)
- Arrange and schedule external contractors to maintain site (cleaners, rubbish removal, etc.)
- Ensure the availability of hard copies of standard forms (risk assessments, prestart, SWMS, etc.)
- Procurement tasks include:
- Manage supplier creation / maintenance requests
- Creating purchase orders
- Reconciling and processing invoices
- Processing damage claims
- Reconciling corporate credit cards expenses
- Liaising with suppliers regarding invoice and payment queries
- Other administration tasks as requested by the Finance Manager

**About You**
To be successful you must have the below skill sets and qualities
- 2-3 years’ experience in a similar role
- Have a strong work ethic
- Be a strong team player with the ability to work autonomously
- Display high attention to detail and accuracy
- Have good time management and organisation skills
- Have sound communication skills (written and verbal) with the ability to liaise with internal and external stakeholders
- Possess intermediate level with Excel and Word
- Preferably be experienced with Ariba / SAP
- Hold a clean current driver’s licence
