Job Summary

The Finance Officer Accounts Payable role is a pivotal position within the Finance Department, requiring exceptional organisational skills and attention to detail.

This key role involves processing credit applications, invoicing, debt collection, accounts receivable, and general cashiering duties. The successful candidate will work closely with the Financial Controller to ensure accurate and timely processing of financial transactions.

Main Responsibilities:
  • Credit Application Processing: Ensure prompt and professional communication with clients while processing all Credit Applications.
  • A/R Account Management: Set up A/R accounts for newly approved credits and maintain creditors' details accurately.
  • Financial Transaction Processing: Accountable for the accurate processing of all A/R accounts, ensuring invoices are accurate, supported by valid payment guarantees, and room rates are correct.
  • City Ledger Management: Timely transfer of invoices to the City Ledger and prompt emailing/mailing of invoices to debtors.
  • Daily Summaries and Reconciliation: Complete daily summaries of adjustments related to the City Ledger, distribute as necessary, and reconcile with PMS generated reports.
  • Debtor Follow-up: Follow up on debtors trading beyond normal terms and notify the Financial Controller/Asst. Financial Controller.
  • Travel Agent Commission Payments: Check travel agent commission payments weekly and verify completeness of credit card transactions.
  • Credit Card Disputes: Liaise with Front Office and bank for credit card disputes.
  • Month End Reporting: Prepare Month End reports and balance sheet reconciliations.
