The Role: As an Administrative Support Specialist, you will be responsible for providing exceptional support to our Executive Leadership Team, ensuring seamless execution of daily tasks and projects. Your primary duties will include calendar management, travel arrangements, document preparation, and meeting coordination.
Your Responsibilities:
- Calendar Management: You will take charge of coordinating and managing the schedules for our Executive Leadership Team, ensuring accurate and timely organization of meetings and appointments.
- Travel Arrangements: You will organize seamless business travel by handling flights, accommodations, and itineraries while ensuring every detail is meticulously attended to.
- Document Preparation: You will support the creation of reports, presentations, and memos, ensuring they are polished, professionally formatted, and delivered punctually.
- Meeting Coordination: You will take the lead in preparing meeting agendas, documenting minutes, and tracking action items to facilitate effective discussions and timely follow-ups.
Office Management Duties: In addition to supporting the Executive Leadership Team, you will also be responsible for various office management tasks, including maintaining supplies, organizing the workspace, and coordinating with vendors to ensure our locations thrive in efficiency and comfort.
You'll Need:
- Organisational Skills: You will be able to keep schedules, meetings, and tasks on track, ensuring everything runs smoothly.
- Communication Expertise: Your exceptional verbal and written communication skills will foster seamless collaboration and connection with others.
- Tech Savvy: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other essential office tools is highly advantageous.
- Positive Demeanour: Your friendly and approachable nature will cultivate a warm and inviting atmosphere in the office.
- Collaborative Spirit: You will thrive in a team-focused environment, naturally gravitating towards cooperation and teamwork.
- Relevant Experience: Previous background in an executive assistant or office management role is a definite need for this role.
- Proactive Attitude: A willingness to adapt, learn, and take initiative is highly valued and encouraged.
Salary: The estimated salary for this position is AU$70,000 - AU$90,000 per annum, depending on your experience and qualifications.
