About the Role:

We are seeking an experienced Executive Assistant to provide high-level support to our CEO in a dynamic commercial real estate agency. As a key member of our team, you will be responsible for managing calendars, meetings, and appointments, as well as coordinating travel arrangements and itineraries.

Key Responsibilities:

  1. Provide Executive Support: Manage calendars, meetings, and appointments for the CEO, ensuring seamless communication and task execution.
  2. Coordinate Travel: Arrange travel itineraries, book flights, and hotels, and make necessary travel arrangements.
  3. Prepare Reports and Presentations: Develop and prepare reports, presentations, and correspondence for internal and external stakeholders.
  4. Attend Meetings and Take Minutes: Attend meetings, take minutes, and manage follow-up actions as required.
  5. Handle Confidential Information: Maintain confidentiality and handle sensitive information with discretion.
  6. Liaise with Teams: Collaborate with internal teams and external partners to ensure effective communication and task execution.
  7. Manage Social Media: Coordinate the company's social media calendar, focusing on leadership, motivation, and recruitment content.
  8. Coordinate EDMs and IMs: Prepare and send electronic direct mail and internal messages via InDesign, in collaboration with the offshore team.
  9. Monitor CRM Activity: Regularly review CRM activity to ensure leads are followed up promptly.
  10. Support Staff Recruitment: Assist in maintaining a recruitment pipeline and identifying new potential candidates for the team to pursue.
  11. Manage Email and Subfolders: Monitor, reply, and filter all incoming emails and subfolders, providing regular updates throughout the day.

Requirements:

  1. Experience: Previous experience in Real Estate, specifically in an Executive Assistant or Marketing Coordinator role.
  2. Driver's License: A valid Driver's License and own reliable vehicle.
  3. Employment References: Solid employment references.
  4. Technical Skills: High degree of proficiency with Microsoft Office Suite, CoreLogic, InDesign, and knowledge of Vault or similar CRM.
