Job Description

We are seeking an experienced Chief Administrative Officer to provide high-level administrative support to our Brand Directors for Volkswagen Passenger & Commercial Vehicles. This role will involve organizing their work, strategic meetings, and priorities, as well as providing support in preparing presentations and business events.

This position is a 24-month maximum term contract based in our head office in Zetland.

Main Responsibilities
  • Manage the diary of the PV and CV Brand Directors;
  • Coordinate arrangements for travel and functions, including transport and accommodation arrangements;
  • Raise and manage Purchase Orders, as well as process and manage payment of all invoices, tracking budget spend;
  • Manage credit card statements, reconciliation, and reimbursement matters;
  • Distribute bulletins and other information to dealers for the PV/CV brands;
  • Coordinate PV/CV meetings, including WIP document update and preparation, especially weekly team meetings;
  • Plan and realize National Dealer Roundtable meetings, Dealer Visits, and Sales and Marketing meetings.
Estimated Salary

Around $120,000 - $150,000 per annum, depending on experience.

Required Skills and Qualifications
  • Experience in secretarial, PA, and administrative support;
  • Sound knowledge of Microsoft applications, including Excel, Word, PowerPoint, and Outlook;
  • Strong written and verbal communication skills;
  • High attention to detail and time management skills;
  • Ability to organize and coordinate events and travel and liaise with suppliers;
  • Strong ability to multi-task and prioritize competing tasks;
  • Practical problem-solving skills with an operational focus.
