Key Support Position

We are seeking an exceptional professional to assume a key support role within our organization. As the primary point of contact for business support-related issues, you will play a vital part in ensuring seamless communication and collaboration with various departments.

Main Responsibilities:

  • Policy Implementation: Design, implement, improve, and oversee adherence to general office policies and procedures in line with organizational goals and executive direction.
  • Consistency and Quality: Monitor and ensure consistency and quality within office operations, maintaining high standards for corporate branding, stationery, and gifts.

Day-to-Day Operations:

You will be responsible for running day-to-day office operations, including scheduling, bookings, appointments, and business travel arrangements. You will also welcome visitors, arrange meeting venues, facilitate catering, and order necessary office supplies.

Administration and Data Management:

  • Administrative Tasks: Execute various administrative tasks such as processing information, recording, and making it accessible for relevant stakeholders, mainly within business support processes.
  • Data Security: Establish and monitor procedures for record keeping, ensuring security, integrity, and confidentiality of data in line with relevant rules and regulations.

Facilities Management:

You will handle all facility-related inquiries and activities within the office space, ensuring a safe and secure working environment that supports colleagues in their work.

Filing and Document Management:

You will design and implement archives, filing systems, and procedures, maintaining these systems and ensuring colleagues have access to archived documentation.

Required Skills and Qualifications:

  • Excellent computer skills
  • 5 years of experience in similar roles
  • Excellent English language skills
  • Sound knowledge of HR practice
  • Proficiency in MS Excel, Word, and PowerPoint

Preferred Qualities:

  • Self-starter
  • Ability to work independently with confidence
  • Strong communication and interpersonal skills
  • Ability to build trust and effective personal relations both within the organization and with external stakeholders
