We are seeking a skilled Projects Officer to join our team. In this position, you will be responsible for providing project and operational support activities to contribute to service delivery, service promotion, planning and project development.
- The role will provide general administrative support and project officer assistance to the Women, Family and Community Safety directorate.
- You will undertake/coordinate the delivery of a range of administrative and business services, preparation of routine correspondence and submissions, human resource and finance processes support, procurement activities, asset management processes, and project management administration in compliance with relevant legislation, policies and procedures.
- Review a range of outgoing correspondence, including letters, briefings, submissions, to ensure quality assurance for accuracy, confidentiality and stylistically consistent in accordance with Departmental standards and guidelines.
- Use relevant technology to prepare documentation and presentation material to support business unit managers and directors.
- Maintain and update administrative practices, systems and procedures to improve efficiency and service delivery.
- Respond to and resolve complex enquiries and issues to ensure the provision of accurate information, and the timely and effective resolution of issues.
- Develop working relationships with a broad range of stakeholders to support collaborative practice.
- Gather, collate and provide background information for the executive to support informed decision making and planning.
- Engage with and provide timely advice to relevant stakeholders across WFCS, the Department and with external stakeholders.
The ideal candidate will have high-level organisational skills and time management, ability to work autonomously, with the capacity to contribute positively to the Executive Office team. They should also demonstrate experience working in a high-volume and demanding professional environment, with proven capacity to prioritise competing demands, achieve business goals within tight deadlines, and work with a client-centred approach.
The successful candidate will also have project management and related administrative skills to support project delivery and policy development, sound written communication skills, critical thinking skills and a proven ability to identify and manage risks effectively and maintain appropriate record-keeping.
In addition, they should have advanced skills in using Microsoft Office applications such as Outlook, MS Teams, Excel, PowerPoint and Word, financial acumen including budget tracking and accounts payable, and demonstrated capability in the use of TRIM record management system (or similar) and SAP Finance system (or similar).
