**Job Description**: We're seeking a highly organised and proactive professional to play a vital behind-the-scenes role in supporting operational excellence across our national village network.

As the primary coordinator for our operations team, you'll be responsible for ensuring that our operations function smoothly, efficiently, and to the highest standards. You'll provide high-level executive support to senior leaders, manage core business processes and documentation systems, and facilitate the delivery of critical team meetings, forums, and reporting.

Key Responsibilities:

  • Provide executive assistance to senior leaders, including calendar management, travel coordination, board reporting, presentations, and email management
  • Coordinate regular operations meetings and forums across the business
  • Manage the Operations Quality Documentation and RL Hub (SharePoint), ensuring all processes, policies, and templates are accurate, compliant, and up-to-date
  • Own the resident journey documentation and ensure integration into business-as-usual practices
  • Support project delivery, state forums, and the annual Retirement Living Council Census
  • Oversee Melbourne office operations, including amenities, invoices, contractor liaison, and staff onboarding/offboarding
  • Collaborate with cross-functional stakeholders to improve processes, enhance communication, and drive a high-performance culture

Requirements:

You'll need at least 3 years' experience in high-level administration or coordination roles, strong skills in document management, executive support, and business reporting, and experience maintaining SharePoint and proficiency in Microsoft Office.
