Dealership Administrator Role

The role of Dealership Administrator is a crucial position within the company, responsible for managing vehicle sales, disposals, and day-to-day operations. This includes handling contracts, invoices, records, and data systems, liaising with suppliers and customers, assisting with sales handovers, and maintaining yard and fleet operations.


About the Position
  • This position will provide day-to-day assistance to management and the wider business in achieving smooth administration across the full vehicle lifecycle.
  • Establish and maintain sound working relationships with suppliers, business units, and customers.

The Dealership Administrator supports Better Motor Deals and the BMD Fleet team in delivering exceptional customer service and ensuring seamless transactions.


Key Responsibilities
  1. Provide administrative support to the Operations Manager, Better Motor Deals, and the BMD Fleet Manager.
  2. Carry out pre-disposal inspections and reports, including ongoing management of documents and photographs.
  3. Write up contracts, invoices, and documentation associated with the sale/disposal of vehicles internally and externally.
  4. Manage invoices, repair orders, and purchase orders including approval, coding, and submission of payments.
  5. Assist with data management, analysis, storage, and housekeeping.
  6. Assist with vehicle maintenance/repair, RWC, redeploy, transport, and disposal.
  7. Assist with sales inquiries, sold vehicle handovers, and customer interaction.
  8. Assist with management of number plates, plate orders, plate changes, and transfers.
  9. Assist with movement of vehicles, equipment, and staff for Better Motor Deals and BMD Fleet.
  10. Work with and attend TMR regarding registration management, cancellations, and transfers.
  11. Management and development of DMS, AX, and other related electronic systems as required.
  12. Ensure the shed, detailing area, and yard are maintained, orderly, safe, clean, and tidy at all times.
  13. Oversight and tasking of the Fleet/Yard Support Officer.

Requirements

This role requires knowledge of fleet management and maintenance principles, previous experience in the management/sale of motor vehicles in a dealership environment, understanding of Queensland Transport registration and compliance requirements and systems, good level of mechanical knowledge and aptitude, and proficiency in Microsoft Office Suite including Outlook, Excel, and Word.
