As a key member of the Hastings Deering team, you will play a pivotal role in supporting the Sime Darby Berhad Executive Manager of HSE Operations and the HSE team.

About the Opportunity

We are seeking an experienced and highly skilled Administrative Coordinator to join our Eagle Farm, QLD office. The successful candidate will provide exceptional administrative support, overseeing travel arrangements, accommodation bookings, and meeting coordination within the Health Safety & Environment Operations team.

Key Responsibilities
  • Deliver seamless administrative assistance to the Executive Manager of HSE Operations
  • Prepare safety and sustainability reports, presentations, and papers that drive meaningful change
  • Coordinate travel, accommodations, and entertainment for the team, ensuring smooth operations
  • Manage correspondence effectively, providing timely responses and maintaining confidentiality
  • Coordinate and administer various Safety & Sustainability administrative tasks as required
  • Manage the flow of incoming and outgoing correspondence, initiate follow-up actions when necessary, and screen phone calls, enquiries, and requests
  • Organise and facilitate meetings, including video conferences, and record and prepare minutes when required
Essential Requirements
  • A minimum of 3 years experience working in an administrative role within a large organisation
  • Proficiency in Microsoft Office and other relevant systems to streamline operations
  • Ability to engage stakeholders with confidence, professionalism, and a commitment to exceptional service
  • Ability to communicate effectively, both verbally and in writing, to convey ideas clearly
  • Knowledge of Safety and Sustainability policies and procedures (Desirable)
  • Certificate IV in Workplace Health and Safety (Desirable)
