Job Summary

This is an exciting opportunity for an Operations Administrative Specialist to join our team As an integral part of the Finished Vehicle Logistics Operations Manager's support team, you will play a vital role in ensuring the efficient handling of site-related administrative tasks.



Key Responsibilities


  • Administrative Support: Provide comprehensive administrative assistance, including scheduling meetings, managing calendars, and collecting data as required.
  • General Administration: Assist with various administrative tasks, ad-hoc requests from the Operations Manager and team members.
  • Shared Mailbox Management: Manage the shared mailbox for the Operations team, addressing and responding to incoming queries promptly.
  • Customer Communication: Collaborate closely with fleet allocators and the wider operations team to address customer queries, manage manifesting time slots, and communicate about late or priority vehicles.
  • Customer Service: Handle all customer calls regarding collections, deliveries, and updates on late vehicles.
  • State-Specific Customer Needs: Oversee State-specific customer requirements, including handling contacts, reports, and requirements.
  • Quote Provision: Provide quotes and handle booking requests to ensure a smooth operational process for customer requirements.
  • QHSE System Management: Oversee tasks related to the QHSE system (MyOsh), ensuring all tasks are completed and compliant with company policies.


Requirements

To be successful in this role, you will need:




  • Administrative Experience: Proven experience in an administrative support role in any industry.
  • Microsoft Excel Skills: Basic to intermediate proficiency in Microsoft Excel for data entry and simple data manipulation.
  • Health, Safety, and Environment Awareness: Awareness of health, safety, and environment management practices.
  • Organizational Skills: Strong organizational skills with the ability to prioritize tasks and meet deadlines.
  • Communication Skills: Excellent verbal and written communication skills.
  • Pressure Handling: Ability to handle pressured situations calmly and professionally.
  • Customer Service Orientation: Strong customer service orientation with the ability to build positive relationships.
