The RoleWe are seeking a highly motivated and experienced Facilities Administrator to join our team. The successful candidate will be responsible for providing high-quality services and achieving efficiencies in our operations.
The key responsibilities of this role include:
- Ensuring service delivery meets and exceeds client expectations and established service levels and/or benchmarks
- Working to defined procedures and outputs, maintaining Evolve FM's image and reputation at the forefront of performance
- Assisting the Facilities Managers with operational activities, including accounting and finance, maintenance and operations, vendor oversight, purchasing of materials, equipment, and supplies, occupancy services, and helpdesk
- Assisting in the training and inductions of contractors
- Overseeing maintenance requests logged on the system and ensuring optimum allocation of works to contractors as specified by the Contract within the financial and operational delegations set by the Client
- Ensuring compliance checks as required by statutory regulations and industry guidelines are accurately maintained
- Ensuring building condition and property classification data is properly managed and coordinating activities to ensure the integrity of the equipment is maintained
- Proactively engaging stakeholders to ensure that on-site client expectations are met and ensuring vendors are well-managed, delivering services on time and within budget
- Actively working to ensure that the site's financial operations are meeting or exceeding targets and control requirements
- Making suggestions to the manager in ways to achieve service delivery efficiencies and/or cost reductions within accountabilities
- Assisting the manager with continuous process improvement, problem-solving, and best practice reviews
- Delivering accountabilities assigned within KPIs and service level agreements as well as the annual operational plan for the area of responsibility
We are seeking a motivated self-starter with a proven track record of successfully delivering best practice and quality to the organisation, your team, and clients. The ideal candidate will have:
- Experience in a transferrable or related field
- Knowledge of local occupational health and safety requirements
- Good computer and software knowledge
- Knowledge of work health and safety requirements
- A track record of excellent customer service and service delivery
- A clearance to work with children in NSW or the ability to obtain one
- The ability to work within defined procedures and outputs
Ideally, the successful candidate will also possess:
- Experience in a similar role (within facilities, property management, or other related fields with service requests/work orders)
- An understanding of basic technical aspects of property (Computer Room Air-conditioning, Chiller system, Fire Protection system, Mechanical & Electrical system, BMS system)
- Knowledge of vendor management for specialised services
