Job Summary

We are seeking a motivated and self-starting Lobby Ambassador to deliver exceptional reception and facilities coordination services to our clients. As the professional face of our client organization, you will build and develop effective relationships with clients and stakeholders across multiple levels of the organization.

Key Responsibilities

  • Provide administration support to clients and the facilities team, including processing invoices in JLL systems.
  • Ensure visitor sign-in/out and issue visitor badges as per policy and procedures.
  • Book and manage meeting rooms, order catering, and arrange room set-ups and pack-downs.
  • Ensure rooms are stocked with necessary supplies and are kept neat and tidy.
  • Provide tea/coffee making services and arrange catering for meetings and events.
  • Manage car parking for visitors and maintain records.
  • Liaise with cleaners to attend to staff needs on housekeeping matters.
  • Travel booking for the agency when necessary.
  • Ensure Audio-Visual services are in place and prepared for meetings.
  • Fulfill ad-hoc requests promptly and efficiently to support the facilities team or client.
  • Manage and induct contractors on site to ensure they meet required standards.

Requirements

  • A motivated self-starter with a proven track record of delivering best practice and quality to clients.
  • Proven experience in reception, preferably in a corporate environment.
  • Presentation of a professional and friendly corporate image to clients.
  • Ability to interact well within a team.
  • Ability to learn new systems quickly.
  • Confident interaction with all levels of the organization from CEO to cleaning contractors.
  • Able to work with minimal supervision.
