
Office Reception Support Specialist

This role offers an opportunity to work in a busy office environment providing exceptional customer service and administrative support.
The successful candidate will have excellent interpersonal and communication skills, with the ability to work effectively in a team environment. They will be highly organised, with strong time management and problem-solving skills, and the ability to adapt to changing priorities and deadlines.
Main Responsibilities:
- Provide a welcoming and professional first point of contact for all visitors and callers.
- Manage a busy switchboard, promptly answering and directing incoming calls.
- Ensure front-of-house security protocols are followed at all times, including visitor registration and access procedures.
- Notify staff or departments upon guest arrivals, ensuring a smooth visitor experience.
- Maintain the appearance of reception areas, meeting rooms, kitchens, and shared spaces.
- Coordinate mailroom services, including incoming and outgoing mail and courier requests.
- Monitor and order office supplies to ensure availability at all times.
- Update and maintain registers, logs, and records as required.
- Report building and maintenance issues promptly to relevant teams.
Required Skills and Qualifications:
- Previous experience in a front-of-house or administration role is desirable.
- Strong interpersonal and communication skills, with the ability to engage positively with staff and visitors.
- Ability to prioritise, organise, and manage multiple tasks in a busy environment.
- Flexible and adaptable, with the ability to respond effectively to changing demands.
- Proficiency in Microsoft Office applications, particularly Word, Excel, and PowerPoint.
- Administration skills with attention to detail and accuracy.
- Experience with SAP (desirable).
- Effective team player who contributes to a supportive and professional workplace culture.
