Front Office Coordinator

Position Overview
The role serves as the initial point of contact for the organization, facilitating effective communication and ensuring smooth operations within the front office. Responsibilities include managing administrative tasks while upholding confidentiality and professionalism.
Key Responsibilities:
- Act as the welcoming face of the organization, providing exceptional customer service
- Handle incoming and outgoing correspondence, including mail and faxes
- Maintain a comprehensive mailing register
- Oversee the Australia Post account and manage stock levels
- Direct phone calls and operate the 3CX Phone System efficiently
- Relay clear and accurate messages to relevant personnel via Teams and email
- Distribute OCV Reports and follow up on overdue responses
- Manage multiple Microsoft Outlook Calendars for scheduling
- Coordinate security key management
- Monitor and replenish stationery supplies
- Ensure the reception area is tidy and presentable at all times
- Maintain an accurate inventory of stationery and process purchase requisitions
- Facilitate first aid audits and manage supplies accordingly
- Ensure all administrative equipment is functional, including photocopiers and laminators
- Handle filing and documentation for new employees
- Coordinate the issuance of necessary equipment for new hires
- Engage with current employees and management
- Communicate effectively with both internal and external stakeholders
- Identify and report any operational issues to management
- Adhere to relevant legislation and organizational policies
- Demonstrate empathy and understanding when interacting with clients, including those with disabilities
- Maintain confidentiality and discretion in all communications
Essential Qualifications:
- Minimum of 1 year experience in a receptionist or similar role
- Proficient in Microsoft Office Suite
- Experience managing multiple calendars and booking systems
