Front Office Coordinator Role

As a Front Office Coordinator, you will serve as the primary point of contact for visitors and new starters, providing exceptional customer service and support to our team.

This position requires a high level of professionalism, attention to detail, and strong communication skills. You will be responsible for managing the reception area, meeting rooms, and incoming deliveries, as well as responding to requests from employees regarding facilities issues.

We are seeking an individual with previous experience working in a fast-paced business environment in an administration or reception role. You will have a proven ability to take initiative, be innovative, and solve problems, with a strong eye for detail and excellent communication skills.

You will be proficient in Microsoft Office Suite, including MS Word, MS Excel, MS Outlook, and PowerPoint, and be able to learn quickly and work independently with minimal supervision.

Key Responsibilities:
  • Presentation of First Impressions: Greet visitors and direct them to the correct team member and/or department, ensuring a positive first impression of our organization.
  • Communication: Answer all incoming calls and ensure connection to the correct department, maintaining efficient communication channels.
  • Facilities Management: Manage the reception area and all meeting rooms, ensuring they are tidy and organized.
  • Delivery and Logistics: Receive and direct incoming deliveries, streamlining our logistics processes.
  • Issue Resolution: Respond to requests from employees regarding any facilities issues by either resolving the issue where possible or informing the relevant manager of the request in an accurate and timely manner.
  • Stakeholder Relationships: Develop and maintain strong relationships with all stakeholders, internal clients, and the management team by displaying our values and behaviors.
