
Scheduling and Operations Coordinator

We are seeking a skilled Scheduling and Administration professional to join our team in the Hunter region.
This is a full-time vacancy with flexible hours, Monday – Friday between 7am – 5pm (early start or late finish).

- Ensure confidentiality of participant records and organizational matters at all times.
- Collaborate with the team to provide exceptional service to participants and their families.
- Develop a strong understanding of our organization's functions and key staff to effectively manage customer inquiries.
- Answer phone calls, direct inquiries, and establish telephone contact as needed.
- Communicate effectively with peers, participants, families, and other stakeholders.
- Contribute to project work under supervision as required.
- Support new staff induction, including scheduling buddy shifts and roster establishment.
- Schedule participant services, including replacement and leave coverage.
- Develop rosters for Care Partners and provide relief as needed.
- Enter new client information and maintain Client Management Systems.
- Consult with stakeholders to ensure effective communication within our team and external partners.
- Prepare data and reports for individual programs as required.
- Hold a Cert III or IV in Administration or Business.
- Possess a current driver's license.
- Have a current NDIS check or be willing to obtain one.
- Meet Australian work rights requirements.
- Demonstrate skills and experience in client management and rostering systems.
- Exhibit strong administrative skills and computer literacy.
- Display excellent interpersonal and communication skills.
- Ability to work effectively as a team member and individually.
- Ability to prioritize tasks and maintain high standards under pressure.
- High level of data entry accuracy with attention to detail.
- Previous experience in supervising teams.
