Clyde & Co, a leading global law firm, invites applications for an Administrative Assistant role in its Sydney office.

This opportunity is ideal for individuals seeking to start their career in administration or transition into the corporate world.

As an Administrative Assistant, you will provide essential support to lawyers, ensuring they have the necessary resources to deliver exceptional services to clients.

  • You will be responsible for providing legal secretarial support as required, including inbox management, drafting correspondence, and preparing court documents.
  • Your tasks will also include monthly billing, ensuring client Service Level Agreements (SLAs) and specific billing requirements are met.
  • You will attend to client and matter queries, generate briefs to counsel, and coordinate with junior and senior counsel on matter coordination.
  • You will capture and record fee earner time, including business development activities, and liaise with clients.
  • You will manage diaries, organizing internal and external client meetings and arranging travel.
  • You will perform all other ad hoc duties as required.

Client and Matter

  • You will address client and matter queries, assist with routine correspondence preparation, organize appointments, and download subpoena packets.
  • You will assist with the preparation of court documents, including labeling, indexing, preparing files, briefs to counsel, and court bundles.
  • You will liaise with third parties to ensure seamless communication.

Finance

  • You will process third-party invoices and disbursements, compile fee earner expenses, and assist with timesheet completion in Intapp Time.
  • You will provide assistance with client report preparation.

Requirements

  • Diploma or certification (preferred but not essential)
  • 0-2 years of experience in legal administration or professional services
  • Proficiency in Microsoft Office applications
  • Superior time management and attention to detail
  • High level of professionalism and service excellence
  • Flexibility to work autonomously and as part of a team environment
  • Experience with Elite 3E and iManage will be highly regarded
  • A positive attitude to work and adaptability
