Administrative Support Specialist

As an Administrative Support Specialist, you will provide high-level administrative assistance to senior executives and contribute to the smooth operation of the organization.

  • Manage complex calendars and coordinate meetings and appointments for executives.
  • Act as a liaison between executives, employees, doctors, and external partners.
  • Ensure accurate and timely information flow by drafting, reviewing, and sending communications on behalf of executives.

Key responsibilities also include organizing and preparing for meetings, gathering documents, attending to logistics, answering phone calls, communicating messages, managing personnel files, and event management.

Additionally, you will be involved in supporting various administrative projects and functions, including auditing, newsletters, licensing, and maintaining employee documentation.

Requirements

To succeed in this role, you will require:

  • Understanding of confidentiality and information protection.
  • Effective customer relations management and key stakeholder communication.
  • Ability to work in a fast-paced environment with key priorities.
  • Progressive attitude with initiative and lateral problem-solving abilities.
  • Proficient keyboard and word processing skills with robust knowledge of Microsoft products.
  • Minimum three years' experience as an Executive Assistant or similar position.
  • Desirable experience working in health services and/or using hospital mainframe systems.
