We are seeking a highly organized and proactive Team Assistant to support our Investment Banking team in Melbourne. The successful candidate will have prior experience working in an office administration or PA role and be able to work in a fast-paced environment.

Key Responsibilities
  • Calendar management, including coordinating client and internal meetings, calls, and Zoom meetings
  • Maintaining team calendars and contact information in Salesforce
  • Answering phone calls and emails, relaying information in a timely and accurate manner
  • Travel arrangements, including booking flights and accommodation for team members
  • Processing expense reports for bankers within strict deadlines
  • Client entertainment, including organizing lunches and dinners, and working with the Events team and bankers to invite clients to events
  • Coordinating room bookings for client meetings and lunches, and liaising with the catering manager when required
  • Providing coverage for EA colleagues during breaks and holidays
  • Actively fostering a cohesive work environment within the EA team in the A/NZ region
Requirements
  • Proven experience working in an office administration or PA role
  • Highly organized with strong attention to detail and ability to manage multiple tasks
  • Excellent communication skills, including phone, email, and in-person communication
  • Strong Microsoft Outlook skills, including fast and accurate keyboard skills
  • Ability to work proactively in a fast-paced environment and prioritize tasks effectively
  • Flexibility and adaptability to work and support across multiple teams
  • Ability to maintain confidentiality and discretion at all times
