Key Responsibilities

  • Manage the administration and logistics needs for tour groups, ensuring seamless execution of events and activities.
  • Process bookings and updates through our reservation system, maintaining accurate records and ensuring timely communication with guests.
  • Process payments and transactions in accordance with standard operating procedures, ensuring financial accuracy and compliance.
  • Ensure accurate reconciliation of accounts, identifying and resolving any discrepancies or issues.
  • Troubleshoot booking challenges, providing prompt and effective solutions to ensure guest satisfaction.
  • Carry out administrative tasks associated with bookings, ensuring all information is accurately recorded and up-to-date.
  • Liaise with the resort restaurant to ensure food and beverage information and menus are current and aligned with our brand standards.
  • Liaise with marketing to ensure collateral and content are updated on our website and social media channels.
  • Build positive relationships with colleagues, guests, suppliers, and contractors, fostering a collaborative and supportive work environment.
  • Provide customers with information about our resort, including room types, availability, rates, services, products, and local attractions, and proactively assist members and guests with bookings to maximize our services.
  • Stay informed about daily events at the resort, local events, and upcoming key dates, and communicate this information with team members.
  • Act as the central point of contact for all functions and event bookings at the resort and restaurant, ensuring seamless execution and guest satisfaction.
  • Manage event planning and work with Heads of Department to ensure adequate allocation of resources for functions and events.
  • Assist with events, including ensuring the setup of events, assisting contractors involved in the event, and being available for any queries regarding the setup on the day.

Requirements

  • Certificate III or Diploma in Hospitality, Tourism, or Events-related discipline or equivalent is desirable.
  • Previous experience in a hospitality environment, hotels, accommodation, or similar is essential.
  • Demonstrated knowledge of events, venue operations, or functions is required.
  • Demonstrated experience in group reservation experience is essential.
  • Knowledge of and ability to maintain a safe and hygienic working environment is crucial.
  • Strong time-management, organization, and multi-tasking skills are necessary.
  • Ability to work well within a team and build relationships is essential.
  • A creative flair, with the ability to envision and bring to life the guest's requirements, is desirable.
  • Ability to obtain a National Police Clearance is required.
  • A current Responsible Service of Alcohol (RSA) Certificate is necessary.
