About the Role

We are seeking a highly skilled and organized Senior Administration Officer to join our Corporate Affairs team in Darwin. As a key member of our team, you will provide administrative support to facilitate the efficient operation of our Darwin office and the Corporate Affairs team.

Key Responsibilities
  1. Coordinate and manage the diary of the General Manager of Northern Territory, ensuring seamless communication and scheduling.
  2. Deliver general administrative support, including preparing and editing correspondence, reports, and presentations.
  3. Assist the General Manager, Northern Territory with budget management, including raising purchase orders and tracking expenditure.
  4. Provide guidance and support to the Receptionist, ensuring a smooth and efficient front-of-house experience.
  5. Manage receptionist roles and responsibilities in the absence of the Receptionist.
  6. Act as the focal point of contact for the Team Event Planner and Cross Functional Dashboard.
  7. Manage calendar invitations and RSVPs for NT-based functions and events.
  8. Process travel bookings, raise requests for flights and hotels, and track team travel and leave arrangements.
  9. Prepare and edit correspondence, reports, and presentations.
  10. Support the team with IT requests as needed.
  11. Assist with the end-to-end organization of team-building events, workshops, morning teas, and special occasions.
  12. Coordinate the weekly and monthly reporting processes, ensuring timely submission to the General Manager.
  13. Coordinate with the Receptionist to manage PPE requirements for ILNG site visits.
  14. Manage the coordination of all VIP site tours with the ILNG Onshore admin team.
  15. Support ILNG site visits from a Darwin Corporate office perspective.
  16. Maintain a clean, organized, and hygienic office environment by coordinating with cleaning services and managing supplies.
Requirements
  1. Strong verbal, listening, and written communication skills, with high attention to detail.
  2. Strong administrative and organizational skills.
  3. Excellent PC skills, including proficiency in MS Office (Word, PowerPoint, Excel), SAP, and Outlook.
  4. Working knowledge of MS Teams.
  5. Ability to work independently and use initiative.
  6. Ability to manage multiple tasks concurrently.
  7. Flexible and adaptable to varied tasks.
  8. Must be able to work with integrity and maintain confidentiality.
  9. Budgeting skills highly regarded.
