Job Summary

We are seeking an experienced Executive Office Support Specialist to join our client services team. This role will be responsible for providing administrative support to our Client Services Manager and Group Chief Executive Officer. The successful candidate will be the face of our firm, engaging with clients both virtually and in-person.

Key Responsibilities
  • Greet and welcome clients and visitors, creating a professional and friendly environment.
  • Manage incoming calls, forwarding messages to relevant team members.
  • Schedule and manage room bookings, ensuring adherence to company policies.
  • Maintain the tidiness of meeting rooms and public spaces before and after meetings.
  • Handle incoming and outgoing mail and packages.
  • Manage office supplies and place orders as needed.
  • Provide administrative support to the client services team under the direction of the Client Services Manager.
  • Assist with general office tasks such as organizing events, managing repairs and maintenance, and liaising with suppliers and contractors.
Requirements
  • Strong multitasking and organizational skills.
  • At least 12 months experience in a similar role.
  • Excellent communication and interpersonal abilities.
  • Attention to detail.
  • Proficiency in MS Office (PowerPoint, Excel, Word).
  • Professional discretion.
