Proposal Coordinator

Coordinate the preparation of high-quality proposals from inception to completion. Collaborate with internal stakeholders in a fast-paced environment to ensure timely submission of bids.

  • Review RFQ documents to understand submission requirements
  • Participate in tender meetings and monitor progress of bid deliverables
  • Manage multiple concurrent submissions and prioritize deadlines effectively
  • Write compelling response content that is well-structured, persuasive, and tailored to client needs
  • Utilize graphic design and page layout skills using Adobe Creative Suite (advanced InDesign experience preferred)
  • Liaise with internal stakeholders and subject matter experts to gather relevant technical responses, and edit these responses for content and clarity
  • Ensure submissions are accurate and comply with client requirements, including review of formatting and spelling
  • Maintain bid content libraries, including project case studies, CVs, image library, and client feedback database
  • Implement and maintain style guides and templates
  • Prepare industry award submissions
Requirements
  • Minimum 3-5 years of experience in a Bid/Submissions/Proposals role (Construction or Engineering industry experience preferred)
  • Proficiency in Adobe Creative Suite (Photoshop, Illustrator, InDesign) to create visually appealing submissions
  • Intermediate to advanced skills in Microsoft Office suite, with a focus on Word and PowerPoint formatting
  • Sound understanding of tender/bid processes
  • Strong attention to detail
  • Excellent written and verbal communication skills – ability to translate technical information into clear, compelling proposals
  • Excellent coordination and time management skills – ability to work under pressure to meet strict deadlines, prioritizing tasks and coordinating others to ensure deadlines are met
  • Ability to work closely with staff at all levels – experience engaging with stakeholders and developing professional, productive working relationships
  • Ability to work autonomously and in a team environment
  • Ability to demonstrate initiative and problem-solving skills
