About the Role

CBRE GWS is seeking a highly skilled Facilities Coordinator to join our team in Ballarat, VIC. As a key member of our facilities management team, you will be responsible for the day-to-day management of a key site within the Client Property Portfolio.

Key Responsibilities
  • Facilities Management: Deliver efficient and cost-effective FM services across a portfolio of properties, ensuring each property is compliant with relevant codes and standards.
  • Health, Safety, and Environment (HSE): Manage the HSE program, conduct annual HSE inspections, and provide regular reporting.
  • Collaboration and Communication: Work with building management, supervisors, and contractors to resolve issues in a timely, respectful, and professional manner.
  • Financial Management: Prepare, manage, and update the Annual Opex and Capex programme and budgets in conjunction with the client and other Team members.
  • Preventative Maintenance: Implement and maintain preventative maintenance schedules and risk management procedures, asset management, and other agreed premises management initiatives.
  • Reporting and Analysis: Prepare a consolidated monthly report, including client service requests, key issues, outcomes of tenancy inspections, project status, and project pipeline.
  • Energy Efficiency: Manage the energy savings program, maintain accurate data of system set points, timer clocks, and equipment usage, and proactively report on potential energy efficiency improvements.
Requirements
  • Tertiary Qualifications: Tertiary qualifications in property discipline and/or trade background are desirable.
  • Experience: At least 2 years of facilities management experience.
  • Skills: Demonstrate a track record in managing fit-outs, refurbishments, and maintenance, good understanding of financials, specifically budget preparation, managing portfolio to a budget, fulfilling reporting requirements, project, and service-related financial management, ability to communicate at all levels, build effective and professional relationships with clients and colleagues, logical and analytical thought processes, and good problem-solving skills.
  • Technical Skills: Good working knowledge of the current Health & Safety at Work Act and intermediate to advanced level in core Microsoft packages, particularly Word, Excel, and Outlook.
  • Travel: Ability to travel, driver's license required.
