We are seeking a skilled Administrative Support Specialist to join our team in providing exceptional support services.
This role involves working closely with the Partners and fee earners to ensure seamless office operations, manage billing processes, and maintain accurate financial records.
Key Responsibilities- Coordinate travel arrangements, internal meetings, and external communications with clients and colleagues.
- Manage all aspects of the billing process, including preparing billing guides, liaising with fee earners, and ensuring timely client invoicing.
- Handle and process expenses, manage claims, and oversee the financial recording system.
- Draft, amend, and proofread legal documents, correspondence, and presentations.
- Manage incoming documentation, scanning, filing, and maintaining the firm's document management system.
- Co-ordinate business development activities and maintain accurate client contact information.
- Handle telephone calls, manage email inboxes, and ensure efficient communication in the absence of team members.
- Minimum 3-5 years experience as an Administrative Support Specialist.
- This role requires travel; possession of a valid passport is essential.
- Strong administrative and organisational skills, with attention to detail.
- Proficient in document management, billing systems, and standard office software.
- Experience with Oracle or similar systems is advantageous.
- Excellent communication skills, with ability to interact with clients, fee earners, and external partners.
