As a Schedule Coordinator, you will play a vital role in ensuring the smooth operation of our pathology services. You will be responsible for coordinating and managing collection schedules, workforce planning, and providing day-to-day support to our collection staff.

About the Opportunity

This is a dynamic role that requires strong attention to detail, excellent communication skills, and the ability to work collaboratively with our teams. You will be allocated a specific geographical region to manage and will work closely with other coordinators and territory managers to ensure seamless delivery of high-quality services.

Duties:
  • Enter and verify daily shift adjustments via UKG;
  • Coordinate short notice sick leave replacement;
  • Coordinate and distribute schedules;
  • Work with Collection Coordinators on workforce planning;
  • Analyse scheduled hours to ensure adherence with enterprise agreements and contracted hours;
  • Assist with preparation of accuracy of timesheets for the Pay Office;
  • Manage staff enquiries regarding schedules and changes to schedules;
  • Support collection staff with day-to-day operational matters and general collection centre and eCollect enquires;
  • Build relationships with staff to support operations and service excellence;
  • Assist with day-to-day workflow as required.
Requirements

To succeed in this role, you will need:

  • Previous experience scheduling via UKG (Kronos) - preferred but not essential;
  • Previous scheduling experience - preferred not essential;
  • Proficiency in the Microsoft Office suite with intermediate or advanced skills in Excel;
  • Ability to prioritise work and meet deadlines;
  • Demonstrated attention to detail;
  • Demonstrated excellent customer service and interpersonal skills;
  • Proven ability to work independently and identify efficiencies and improvements;
  • Polished and professional telephone manner;
  • Ability to communicate in a concise and articulate manner;
  • Ability to work in a team environment and, when required, to work autonomously;
  • Ability to work flexible hours across the department as required;
  • Ability to interpret instructions and provide feedback to ensure systems, procedures and processes are maintained at the highest standard;
  • Evidence of COVID-19 vaccination (2 doses).
