Job Description

We are seeking a dedicated and proactive Client Services Representative to join our team at a boutique accounting firm in South Yarra. As the first point of contact for clients, you will play a pivotal role in delivering exceptional service and upholding the firm's reputation for excellence.

Key Responsibilities:
  • Greet clients and visitors in a professional and friendly manner
  • Assist with basic accounting tasks such as invoicing and billing
  • Liaise with ATO and ASIC
  • Answer and direct phone calls to the appropriate staff members
  • Manage the firm's main email inbox and forward messages as required
  • Schedule appointments and manage conference room bookings
  • Assist clients with inquiries regarding services, appointments, and general information
  • Process client intake forms and update client databases
  • Maintain the reception area, ensuring it is clean, organized, and presentable
  • Coordinate incoming and outgoing mail and packages
  • Provide administrative support as needed
  • Maintain confidentiality of sensitive client information
Requirements:
  • Previous experience working within an accounting firm with ASIC and ATO experience is a crucial requirement for this role
  • Experience in a customer-facing role where providing exceptional service and support to clients is paramount
  • Strong verbal and written communication skills to interact confidently and professionally with clients, colleagues, and other stakeholders
  • Ability to multitask and prioritize tasks effectively, managing various responsibilities such as scheduling appointments, managing inquiries, and handling administrative duties
  • Ability to handle client inquiries and resolve issues efficiently, demonstrating resourcefulness and professionalism in finding solutions
  • Familiarity with basic accounting terminology and processes
