Community Relations and Events Coordinator Job Description

This role requires a highly motivated individual to oversee the planning and execution of multiple annual signature events. The successful candidate will be responsible for developing strategies to acquire, renew, and upgrade sponsors and business donors for event and program sponsorship.



Duties and Responsibilities:
  • The ideal candidate will collaborate with senior staff to develop event plans, budgets, and timelines for annual signature events, including marketing, media, and communications campaigns.
  • They will integrate event plans with Development Team strategies, encompassing donor engagement, and ensure they meet financial targets.
  • Provision of administrative and leadership support to event committees is also essential.
  • Negotiation with suppliers and vendors to secure event requirements, such as venues, catering, décor, sound equipment, and other necessary resources.
  • Oversight of event plans, ensuring that all activities and logistical aspects progress on schedule and within budgetary constraints.
  • The successful candidate will draft scripts, speaking notes, and event programs for senior leadership and volunteers representing Our Place at events.
  • Formulation of sponsorship proposals and coordination of event plans, including drafting sponsorship agreements.
  • Supervision of campaign volunteers and provision of training as needed.
  • Creation of event marketing collateral, utilizing established creative design and brand elements.
  • Maintenance of records in Raiser's Edge and stewardship of sponsors and guests according to fundraising best practices.
  • Representation of OPS at community events and collaboration with businesses and organizations for sponsored meals and donor acquisition.
  • Engagement of businesses and community groups in supporting Our Place.


Required Skills and Qualifications:
  • Presentation skills with the ability to clearly communicate ideas.
  • Self-motivated with a focus on measurable outcomes and results.
  • Able to work independently and as part of a team.
  • Excellent interpersonal, verbal, and written communication skills.
  • Attention to detail.
  • Proficiency in Microsoft Office applications and fundraising software.
  • Basic graphic design skills.
  • Understanding of best practices for fundraising.


Benefits:
