About the Role:

We are seeking a highly organized and detail-oriented Business Operations Coordinator to join our team at Monash University. As a key member of our administrative team, you will provide exceptional support to our customers and stakeholders, ensuring a positive and efficient experience.

Key Responsibilities:
  • Provide reception services, including greeting visitors, answering phone calls, and responding to emails.
  • Manage meeting bookings, calendars, and catering requests, ensuring seamless coordination and timely delivery of services.
  • Coordinate consumables management, mail processing, and courier services, maintaining accurate records and adhering to postal regulations.
  • Liaise with the Corporate Facilities & Workplace Supervisor to ensure tasks are completed in accordance with team Service Level Agreements (SLAs) and Key Performance Indicators (KPIs).
  • Follow established processes and guidelines to meet organisational and team goals, ensuring compliance with company policies and standards.
  • Monitor, organise, and prioritise incoming emails to ensure timely responses, collaborating with other teams to address enquiries from the community.
  • Answer incoming calls from the community and address their enquiries or concerns in a courteous and efficient manner, documenting call details and interactions accurately to maintain records.
  • Undertake support activities in both the main administration building and the training centre, ensuring that both facilities operate smoothly.
  • Assist the Corporate Facilities & Workplace Supervisor with maintenance requests, staff locker management, facility inspections, and vendor management.
  • Print and issue/dispatch ID cards for employees, contractors, and visitors as required, ensuring accuracy and compliance with security standards.
  • Perform other administrative tasks as requested by the business, including printing, binding, and mail outs.
About You:

We are looking for a highly motivated and organized individual with excellent customer service skills and stakeholder management. The ideal candidate will have:

  • Previous experience in reception, call centre operations, customer service, or administrative support.
  • Strong interpersonal, written, and oral communication skills.
  • Strong organisational and multitasking abilities.
  • Proficiency with Microsoft Office suite of programs (Word, Excel, Outlook, SharePoint, PowerPoint).
  • Ability to undertake manual handling tasks in a safe manner.
  • Ability to work reliably and flexibly in a changing work environment.
  • Ability to handle high-traffic environments with a positive attitude.
  • Attention to detail and problem-solving skills.
