The Role:

We are seeking an experienced and highly motivated Chief Executive Officer (CEO) Support Specialist to join our Sydney CBD team. The successful candidate will be responsible for ensuring that our CEO is able to meet his individual and the Company's vision, strategy, and goals by supporting his daily activities.

This role represents the Executive Group by role modelling behaviours such as professionalism, team working, confidentiality, and respect. Additionally, this role provides the Executive Group with important insights into what is happening in the organisation by being a trusted confidante to employees at all levels of the organization.

Key Responsibilities:

  • Strategic Time Management: Proactively manage and optimize the CEO's schedule, appointments, and travel arrangements to ensure efficient use of their time.
  • Information Management: Act as a gatekeeper for the CEO by reviewing, researching, and redirecting correspondence, drafting letters and documents, and collecting and analyzing information to facilitate effective decision-making.
  • Financial Administration: Prepare expense reports, liaise with the Corporate Finance department as needed, and manage other financial administrative tasks related to the CEO's activities.
  • Relationship Building: Cultivate and maintain strong relationships with the Knight Frank Australia (KFA) Board and their support teams, acting as a liaison and ensuring seamless communication and collaboration.
  • Event Planning: Plan and execute national executive conferences in consultation with the Executive Group, ensuring alignment with company objectives and creating impactful experiences for attendees.
  • Executive Insights: Serve as a trusted confidante to employees at all levels, gathering insights and providing the Executive Group with a comprehensive understanding of the organization's dynamics and perspectives.

What You'll Need:

  • Minimum 5 years' experience as a Personal or Executive Assistant
  • Advanced in Microsoft packages – particularly Word, Outlook, PowerPoint and Excel
  • Discretion dealing with confidential information
  • Excellent verbal and written communication skills in order to liaise with clients and draft correspondence and documentation; advanced level of spelling and grammar
  • Exceptional attention to detail and high level of accuracy at all times
  • Demonstrated problem analysis and problem-solving skills
  • Ability to exercise good judgement, logical decision-making and escalate issues appropriately

Salary: AU$120,000 - AU$150,000 per annum
