About this role

We are seeking a professional to handle purchasing materials for internal customers. This role involves working closely with internal teams to understand their material requirements and closing any planning gaps within our system.

Key Responsibilities:

  • Material Ordering: Review and release of purchase requests based on purchasing horizon, material expiry, and order volume; Order acknowledgement and follow-up; Update delivery dates in our system based on supplier feedback and back orders.
  • Material and Supplier Master Data: Handling of supplier registration process; Update and maintain lead time and price lists from suppliers in our system; Handling of material data review and update for purchasing, logistics, and planning activities in our system.
  • Internal Customer Communications: Generate reports from our system to provide ordering status and updates to Operations and Quality departments during weekly meetings; Generate purchasing related reports when required to identify trends; Collaborate with Warehouse team to resolve inbound issues; Provide required quality certificates and delivery documentation to Warehouse team when needed.
  • Accounts Payable Team Support: Review of invoicing issues in our system, ensuring three-way matches (order, goods receipt, and invoice) are met prior to the invoice due date; Liaise with Accounts Payable team to process credit notes when required.
  • Internal Projects: Suggest changes and improvements to purchasing and planning activities; Collaborate with the rest of the team to find better ways; Support improvement initiatives within the planning and purchasing team when needed; Support work instructions and standard procedures drafting when needed.

Requirements:

  • Education: Degree qualification or equivalent procurement/supply chain certification.
  • Skills and Experience: Min 3 yrs industry work experience within a similar Procurement Specialist role; System experience; Proficient in report creation and basic data analysis in Excel; Experience with supplier relationship handling; Excellent interpersonal skills - both written and verbal; Natural problem-solving capabilities and ability to work independently and multi-task; Understanding and/or knowledge of Good Manufacturing Practice desirable.
