Key Responsibilities:

  • Provide high-level support to executive teams, ensuring seamless daily operations and prioritization of strategic objectives.
  • Coordinate internal and external meetings, set agendas, manage logistics, and prepare the CEO for meetings.
  • Draft high-quality correspondence, reports, presentations, and key business documents on behalf of the Executive Team.
  • Capture and distribute clear, actionable meeting minutes after senior leadership and board meetings.
  • Plan and deliver employee and client events, including concept development, logistics, budgeting, stakeholder engagement, and event execution.
  • Represent the organization in community partnerships and philanthropic initiatives, such as corporate donations, sponsorships, and employee volunteer engagement.
  • Lead the Community pillar within the Sustainability Working Group, driving the delivery of meaningful initiatives that strengthen social and community connections.
  • Ensure consistent branding and messaging across all marketing campaigns, maintaining alignment with organizational values, vision, and brand standards.

We're seeking a highly organized and skilled professional who can:

  • Demonstrate experience in providing executive support to C-suite or senior leadership, managing complex schedules, communications, and administrative functions.
  • Show exceptional organizational skills, prioritizing tasks, managing multiple deadlines, and adapting quickly in fast-paced environments.
  • Be proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiar with digital collaboration tools like SharePoint and Teams.
  • Demonstrate outstanding written and verbal communication skills, drafting professional correspondence, reports, and presentations, and communicating effectively with stakeholders.
  • Show strong interpersonal skills, establishing and maintaining trusted relationships across the organization and with external partners.
  • Manage time effectively, prioritize tasks, and anticipate needs, demonstrating a proactive and solution-oriented mindset.
  • Prepare high-quality presentations and business reporting, ensuring information is accurate, clear, and visually engaging.
  • Maintain confidentiality and professionalism when handling sensitive information.
  • Work closely with executive leadership, demonstrating initiative, resilience, and strong stakeholder engagement.
