Administrative Support Specialist

Job SummaryThis Administrative Support Specialist role involves providing administrative support to the service division. The successful candidate will be responsible for data entry, processing, allocating and closing work orders, as well as providing first-class customer service and administration support to the team.
Key Responsibilities- Attend to all incoming branch emails, phone calls and office deliveries.
- Maintain office stock and place orders when required.
- Provide admin support to the service division, including maintaining customer portals, processing working orders and allocating jobs to ensure customer KPIs are met.
- Prepare invoicing, finalise jobs and complete monthly financial reporting.
- Maintain internal records – plant and equipment and technician details.
- Complete data entry tasks – timesheet approvals and allocations, project documentation, purchase orders, etc.
- Perform ad-hoc admin duties when required.
- Prior experience in an administrative role.
- Excellent attention to detail.
- A knack for people engagement.
- Previous experience in a trade or service-based industry is highly desirable.
- Excellent customer service skills.
- Strong written and verbal communication.
- High-level organisation and time management skills.
- Intermediate Microsoft Office suite skills.
