Permit Administration Specialist

Job Overview
We are seeking an experienced Permit Administrator to join our team in Collie, Western Australia. As a key member of our operations team, you will play a crucial role in ensuring the smooth operation of our permit administration processes.
About the Role:
- Manage and maintain accurate records and files related to permit applications and approvals.
- Liaise with clients and external stakeholders to provide excellent customer service and ensure timely communication throughout the building permit process.
- Assist in preparing fee proposals and ensuring accurate invoicing.
- Supervise the administration team and provide support to enable efficient workflow delivery.
- Respond to correspondence within acceptable time-frames and ensure data entry is up-to-date.
- Process invoices accurately and on-time.
- Sources new clients and sets up their information in our database.
- Handles operational queries, internal and external, as required.
- Identifies opportunities for improvement in procedures and processes.
- Contributes to general office management tasks.
Key Responsibilities:
- Able to prioritise and manage multiple deadlines effectively.
- Excellent organisational and time management skills.
- Highly developed interpersonal and communication skills.
- Pride, care, and diligence in work with strong attention to detail.
- Able to negotiate, problem solve, and show initiative.
- Strong experience in administration roles.
- Experience in the building surveying industry or working for a builder managing permits (preferred).
