Medical Equipment Coordinator Job Description

This role is responsible for overseeing and organizing Preventative Maintenance (PM) activities for a wide range of medical equipment. The successful candidate will be tasked with assisting internal and external customers through various communication channels, ensuring timely servicing and maintaining high-quality service delivery.

Key Responsibilities:
  • Scheduling and Dispatching Preventative Maintenance: Extract and manipulate detailed PM data from multiple systems to effectively schedule maintenance within the required timeframe.
  • Customer Support: Refer to operating systems and accurately identify customer information, such as contract entitlement, schedule dates, asset identifiers, and points of contact.
  • Field Engineer Management: Overall management of Field Engineer PM appointment calendars, accurately populating them with PM appointment data.
  • Communication: Communicate with customers through applicable mediums to facilitate 'on-time' servicing.
  • Appointment Rescheduling: Reschedule PM appointments as required, updating key stakeholders.
  • Stakeholder Engagement: Regularly participate in meeting activities, positively contributing to improvement initiatives and maintenance issue resolution.
  • Data Analysis: Analyze PM data and asset location to efficiently schedule maintenance.
  • Data Cleansing: Contribute to data cleansing activities as required.
Required Skills and Qualifications:
  • Coordination and Planning Experience: Extensive and demonstratable experience in a dispersed operational environment.
  • Operating System Proficiency: Experience using multiple operating platforms and systems or similar.
  • Communication Skills: Outstanding communication skills, both written and verbal.
  • Microsoft Excel Expertise: Advanced capabilities in using Microsoft Excel is essential.
  • Cross-Functional Teamwork: Ability to work in a cross-functional matrix team environment nationally and internationally.
  • Task Management: Ability to manage self and tasks in a mature and timely manner, prioritizing effectively.
  • Organizational Skills: Excellent organizational and administrative skills.
  • Attention to Detail: Strong attention to detail.
  • Problem-Solving: A calm and analytical approach to problem-solving, with the ability to make decisions based on data analysis.
  • Adaptability: An adoptive approach to change and the ability to be flexible.
  • Teamwork: Willingness to work as part of a team and actively contribute to continuous improvement initiatives.
  • Customer Relationship Management (CRM): CRM system knowledge.
