Assistant Property Manager

We are seeking a highly organized and detail-oriented Assistant Property Manager to join our team at Investa Property. As a key member of our property administration team, you will play a crucial role in delivering exceptional customer-focused property services and providing top-notch administrative support to our General Manager and Property Manager.
Key Responsibilities- Property Record Management: Ensure that all Voyager tenant records are accurate and audit-ready at all times, working closely with the property administration team to maintain the highest level of data integrity.
- Tenant Liaison: Develop and maintain strong relationships with tenants, providing timely and effective feedback to the team and ensuring seamless communication.
- Inspection Support: Assist Property Managers on inspections, providing valuable support and ensuring that all necessary documentation is completed accurately and efficiently.
- Marketing Collaboration: Work closely with the marketing team to develop and implement effective marketing strategies, ensuring that our properties are showcased in the best possible light.
- Document Preparation: Facilitate the preparation, collation, and delivery of tenancy-related documentation, ensuring that all necessary documents are completed accurately and on time.
- Lease Renewals: Assist Property Managers with lease renewals, working closely with the leasing team to ensure seamless execution.
- Reporting: Assist with monthly reports in accordance with the Service Agreement and timetable, providing valuable insights and analysis to inform business decisions.
- Tenant Maintenance: Prepare tenant maintenance forms, verify invoices, and issue tenant rent review letters, ensuring that all necessary documentation is completed accurately and efficiently.
- Annual Audit Support: Assist with annual audit processes for assigned assets, working closely with the audit team to ensure seamless execution.
- Education: Preferably a Degree in Business or Property, with a strong understanding of commercial property management principles.
- Customer Service: Strong customer service skills, with the ability to develop and maintain strong relationships with tenants and internal stakeholders.
- Technical Skills: Competent in MS Word and Excel, with the ability to learn and adapt to new systems and technologies.
- Relationship Building: Strong relationship building and interpersonal skills, with the ability to work effectively with diverse stakeholders.
- Administrative Experience: Proven experience in an administrative capacity in a corporate environment, with a strong understanding of property administration principles.
- Communication Skills: Proficient communication skills (verbal and written) including report writing, with the ability to communicate effectively with diverse stakeholders.
