Key Position Summary
The City of Ballarat is seeking an experienced Executive Assistant to provide high-level support and assistance to the Director Community Wellbeing.
This role offers a permanent, full-time position with excellent opportunities for professional growth and development in a dynamic team environment.
Job Description:
The successful candidate will have experience in a senior secretarial/administrative role with outstanding attention to detail, excellent customer service skills, and well-developed verbal and written skills.
They will also bring honesty, transparency, accountability, valuing everyone, working with and for our community, and working together.
The Role:
- Support the Director Community Wellbeing and play a pivotal role in ensuring the smooth and efficient operation of the Directorate.
- Arrange meetings, organise the diary, prepare and coordinate draft reports/correspondence as they pertain to the Division.
- Provide executive assistance and support to the Director Community Wellbeing including confidential support and day-to-day management of the Division.
- Coordinating business unit reporting for the division as required by the Director.
- Scheduling, agenda preparation, minute taking, and other administrative tasks.
Responsibilities:
- Assist the Director in managing and coordinating the work of the Division.
- Prepare and present complex information in a clear and concise manner.
- Develop and implement systems and procedures to improve the efficiency and effectiveness of the Directorate.
Requirements:
- Degree or Diploma in Business Administration with some experience or lesser qualifications with substantial experience is desirable.
- Demonstrated ability to champion, model, and promote corporate values.
- Excellent interpersonal, communication, and presentation skills.
- High level experience of administration skills including minute taking, preparing newsletters, correspondence, producing agendas, and maintain current office systems and procedures.
- Proven record of being able to manage time, set priorities, meet deadlines, and work independently.
- Discretion and judgement in dealing with politically sensitive and confidential information.
