Job Title: Governance and Secretariat Specialist

We are seeking an experienced Governance and Secretariat Specialist to support senior decision-making on one of Queensland's most significant infrastructure projects.

Key Responsibilities:
  • Provide high-level governance and secretariat support to senior program and project-level forums.
  • Prepare and deliver high-quality meeting packs, including agendas, briefing notes, papers, minutes, actions, memoranda, submissions, and presentations.
  • Coordinate governance reporting requirements across Program Delivery, collating and distributing timely reports, briefings, presentations, and information papers with accuracy and integrity.
  • Maintain governance registers, including minutes, actions, and decisions, ensuring transparency and accountability.
  • Support the development, review, and improvement of governance frameworks and contribute to the establishment of new governance bodies.
  • Monitor compliance with governance processes, escalating risks or issues where required.
Requirements:
  • Demonstrated experience providing secretariat support to senior governance forums.
  • Strong understanding of corporate governance processes, frameworks, reporting, and compliance requirements.
  • Excellent written and verbal communication skills, with the ability to prepare documentation tailored to different audiences.
  • Proven ability to build and maintain effective relationships with a wide range of stakeholders.
  • Strong analytical, organisational, and time management skills, with the ability to balance competing priorities.
  • Proficiency in Microsoft Office, including PowerPoint and SharePoint, with experience editing and formatting to meet governance submission standards.
