Job Title: Logistics Coordinator

We are seeking an organized and detail-oriented individual to join our team as a Logistics Coordinator. In this role, you will be responsible for managing the end-to-end logistics of delegate registrations, ensuring a smooth and positive experience for delegates from initial sign-up through to travel and stay.

Key Responsibilities:
  • ">
  • Manage event databases, registration websites, and delegate communications effectively.
  • Coordinate flight changes, room blocks, and transfers with precision.
  • Assist with attendee communications and client communications, highlighting key requests and concerns.
  • Support event preparation and on-site operations, ensuring seamless delivery.
  • Attend client meetings and assist with proposals, quotes, and budgeting.

Flight & Accommodation Logistics:
  • ">
  • Manage all delegate flight bookings, liaising with travel agencies and individual delegates to secure itineraries.
  • Coordinate delegate accommodation, negotiating group rates with hotels, managing rooming lists, booking allocations, and handling special requests.
  • Oversee ground transportation arrangements (e.g., airport transfers, shuttle services) as required.
  • Distribute delegate itineraries accurately.

Budget Management:

  • Assist in developing and managing budget allocations to support guest experience components of overall client budgets.

Required Skills & Qualifications:
  • ">
  • Minimum 3 years of experience in event registration/travel coordination/events.
  • Strong attention to detail with ability to manage multiple projects simultaneously in fast-paced environment.
  • Advanced skills in Word, Excel, and PowerPoint.
  • Experience with Swoogo, EventsAIR, SMSBroadcast, SurveyMonkey is a plus.
