Job Description

We are seeking a skilled coordinator to provide high-level administrative support to our leadership team. This role requires a high degree of judgement, initiative, confidentiality, and sensitivity.

The successful candidate will utilise excellent organisation and time management skills to juggle multiple requirements and adapt to changing priorities.

You will provide administrative support for internal and external meetings and use agile skills with technology to undertake a range of activities related to the collection and management of information.

Key Responsibilities:
  • Provide administrative support to the leadership team including diary management, travel arrangements and preparation of documents.
  • Coordinate and organise both internal and external meetings and take minutes.
  • Complete processing of financial transactions as required, including journals and accounts payable.
  • Maintain a list of program and budget reporting schedules and assist with the collation of data for financial and program reporting.
  • Identify and develop systems, procedures, and standards to ensure effective administrative processes for the office and region.
  • Facilitate and support the regional administration team to streamline and standardise the administrative process for the region.
  • Assist in supporting maintenance and set up of new and existing offices including WHS.

Requirements for Success:

  • Extensive administrative experience supporting a leadership team.
  • A high level of computer literacy including proficiency in Microsoft Office packages (Word, Excel, PowerPoint, Teams) and ability to use other computer systems.
  • Strong interpersonal skills and ability to liaise effectively with diverse group of stakeholders.
  • Knowledge and experience with financial systems and procedures, including accounts payable.
  • Excellent planning and time management skills with ability to manage competing and sometimes changing priorities.
  • Ability to facilitate meetings of small groups.
