Our client, a prominent player in the Institutional Equities brokerage sector, is in search of a dedicated Sales Assistant to provide direct support to their Institutional Equity Sales team while also managing essential office operations for their Melbourne branch.
The ideal candidate will possess prior experience in the stockbroking industry and demonstrate the capability to engage in Institutional sales support and client service functions to aid the team effectively.
This role will serve as the primary point of contact for clients, offering a comprehensive range of support for the Institutional Sales team in Melbourne, which includes facilitating corporate access, organizing events, coordinating roadshows, and assisting with marketing initiatives.
With a larger team of 45 professionals based in Sydney and a compact team of 3 Institutional Sales personnel in Melbourne, the role also encompasses vital office administration tasks, albeit limited in scope.
Key Responsibilities:
- Assist with processing sales orders and organizing sales meetings, collaborating with both Melbourne and Sydney Institutional Sales teams.
- Act as the first point of contact in the Melbourne office for external stakeholders.
- Manage the Melbourne Room calendar, coordinating bookings with the Sydney team.
- Support Corporate Access in executing Melbourne-focused marketing campaigns.
- Maintain and update client data in the CRM system, logging interactions as necessary.
- Provide assistance to Sales and Corporate teams regarding placements as needed.
- Oversee general administration for the Melbourne office, coordinating marketing campaigns and ad hoc client meetings, while supporting the Institutional Sales team.
- Organize catering or venue arrangements for client lunches and dinners.
- Ensure the meeting room, kitchen, and general office areas are kept in pristine condition.
- Manage all deliveries for the Melbourne office, ensuring supplies are replenished and mail is distributed appropriately.
- Handle all IT requests for the Melbourne office.
Required Experience:
- Previous experience in stockbroking or a related financial services role is preferred, such as Desk or Dealer Assistant, Client Services, Team Assistant, or Sales Support.
- Demonstrated administrative and assistant experience is essential.
- Proficiency in the Microsoft Office suite (Word, Excel, PowerPoint) is required.
- Experience with a client relationship management (CRM) system is highly recommended.
- Ability to manage multiple deadlines effectively.
