This is a highly rewarding role as a Personal Assistant, providing dedicated support to a Specialist in an obstetrics and gynaecology practice.
The practice is committed to delivering exceptional care for women and their families. We are seeking an experienced and highly organised Personal Assistant to provide day-to-day administrative support and ensure smooth operations.
As a key point of contact for the Specialist, you will manage their calendar, theatre bookings, billing, and patient correspondence. This role plays a vital part in supporting patients throughout their journey, coordinating appointments, and ensuring they feel cared for and supported.
Responsibilities- Manage diaries, appointments, and theatre bookings efficiently.
- Act as the first point of contact for patients, families, and health professionals, providing excellent customer service.
- Prepare correspondence, clinical documents, and secure messaging accurately and promptly.
- Coordinate patient appointments, follow-ups, and procedure support with ease.
- Process billing, health fund claims, and manage aged debt effectively.
- Maintain accurate patient and financial records, adhering to regulatory requirements.
- Support the smooth running of consulting rooms, including equipment and supplies management.
- Provide relief cover for colleagues when required, demonstrating flexibility and teamwork.
- Minimum 2+ years' experience as a Medical Personal Assistant or in a similar senior medical administration role.
- Strong background in medical reception/administration, including billing and theatre bookings.
- Excellent organisational and time management skills, able to work in a busy environment.
- High-level written and verbal communication skills, with attention to detail.
- Ability to work independently and collaboratively as part of a supportive team.
- Compassionate, patient-focused approach with genuine empathy.
- Strong IT and practice management software skills, with willingness to learn new systems.
