About the Role

We are seeking a highly skilled and motivated Workplace Ambassador to join our team at JLL. As a key member of our facilities management team, you will be responsible for delivering exceptional workplace experiences for our clients, colleagues, and guests.

Key Responsibilities

  • Assist the Workspace Manager with operational activities, including accounting, finance, maintenance, operations, vendor oversight, purchasing of materials, equipment, and supplies, and occupancy services.
  • Develop a close working relationship with key stakeholders, partners, landlords, managing agents, and facilities vendors to ensure seamless delivery of services.
  • Assist in the management of contractors on site to ensure they perform to required standards, including inspection of vendors' works.
  • Procure vendors and services as required, ensuring all office supplies and services operate to expected standards.
  • Assist in financial processes to ensure timely and accurate completion of financial management requirements.
  • Manage purchase orders in the internal financial management platform, ensuring prompt and accurate management.
  • Conduct site inspections, assessments, regular audits, and carry out safety procedures, as well as all building procedures, ad-hoc duties, and performance measures.
  • Implement the property risk management program and industry best practice operations.
  • Maintain premises in neat and good working condition at all times, including duplicate office keys.
  • Support the implementation and monitoring of disaster recovery and business continuity plans.
  • Follow established escalation procedures and incident reporting procedures.
  • Provide support for regular management reports and projects as required.
  • Achieve Key Performance Indicators (KPI) and Service Level Agreement (SLA) targets.
  • Manage physical assets and maintain an asset register.
  • Continuously look for opportunities to improve workspace delivery and enhance the LSEG colleague experience.

Requirements

  • Experience in a coordinator role working within facilities, property management, hospitality, or related fields.
  • Collaborative team player with a professional and service-focused approach.
  • Ability to multitask and manage multiple projects effectively.
  • Excellent communication skills and a keen interest in technology.
  • Proficient with computer equipment and programs, including Word, Excel, and Outlook.
  • Knowledge of industry trends and experience or interest in facilities management and customer service.
