Project Accounting Coordinator Job Description

We are seeking an experienced Project Accounting Coordinator to join our team. The ideal candidate will have a strong background in financial management and be proficient in Xero and Excel.


Key Responsibilities
  • Monthly Invoicing Cycle Management: Oversee the monthly invoicing cycle for all projects, ensuring accurate and timely billing.
  • New Project Proposals: Ensure all new project proposals are accurately entered into Xero, maintaining up-to-date records of client information and project details.
  • Staff Timesheets Review: Review weekly staff timesheets to confirm hours billed, guaranteeing accuracy and transparency in financial reporting.
  • Project Accounting Tracking: Track and allocate costs appropriately, linking invoices to the correct projects and managing project variations and closures.
  • Financial Deep-Dives: Conduct financial deep-dives with Project Directors, analyzing financial performance and providing actionable insights.
  • Project Financial Tracking Spreadsheets: Develop and maintain project financial tracking spreadsheets, including invoice reconciliation and progress tracking.
  • Monthly Financial Reports: Prepare monthly financial reports for the Directors and Management Team using Xero, providing a clear picture of financial performance.
  • Strategic Financial Forecasting: Assist in broader strategic financial forecasting with guidance from Management, helping to inform business decisions.

Requirements
  • Proven Experience: Proven experience in financial management, ideally within a design, consulting, or architecture environment.
  • Xero and Excel Proficiency: Strong proficiency in Xero and Excel, with the ability to leverage these tools to drive financial efficiency.
  • Consultant Management: Experience working with consultants and managing sub-consultant financials, ensuring seamless collaboration.
  • Financial Reporting: Confident in preparing and interpreting financial reports, able to distill complex data into actionable insights.
  • Organisational Skills: Excellent organisational skills and attention to detail, ensuring accurate and timely financial management.
  • Collaborative Mindset: A collaborative mindset and ability to work effectively with teams, fostering a culture of openness and cooperation.
  • System Implementation: Willingness to implement new systems or software as required, staying adaptable in a fast-paced environment.
  • Financial Deadline Management: Ability to manage and meet financial deadlines for multiple complex projects, prioritising tasks and delivering results under pressure.
