Accounts Payable Specialist Job Description

The Accounts Payable (AP) Officer plays a vital role in ensuring the business's financial records are accurate and up-to-date. This involves processing transactions through a centralised system, creating reports for personnel or reconciliation purposes, and monitoring expenditures to prevent overspending.

Key Responsibilities:

  • Arranging invoice approvals from Department Managers
  • Entering invoices into the AP system
  • Processing payments
  • Ensuring accurate Goods Receipting in the system
  • Liaising with team members to resolve issues with Invoices and Payments
  • Reconciling End of Day transactions
  • Preparing reporting - Aged payables, Bank Reconciliation and Cash Flow
  • Monitoring and maintaining the Accounts mailbox

Required Skills and Qualifications:

  • Advanced Microsoft Office skills, particularly in Excel, Word and Outlook
  • Knowledge of accounting principles and AP processes
  • Familiarity with Xero or equivalent ERP system
  • Strong data entry skills for expense reports
  • Good Communication and interpersonal skills
  • Punctuality, Teamwork and collaboration skills
  • Critical thinking and problem-solving skills
